Reading renewal risk before the renewal conversation

The signals that matter usually show up months early: a changed admin, quieter usage, an unanswered email. Here is how to notice them.

Renewal conversations rarely surprise the customer. They often surprise the team, because the early signs were spread across inboxes, usage reports and someone's memory of a call.

Watch for change, not just low numbers

A steady, modest level of activity is often fine. A sudden change — a new administrator, a drop in active users, a key contact leaving — deserves a conversation even if the totals still look healthy.
Agree a small set of signals as a team and record them on the account where everyone can see them, along with the date they were noticed.
Health scores are a summary. The reasons behind them are what you act on.

Give every risk an owner and a next step

A risk flag without an action is just a worry. Pair each one with a specific step — a check-in, a training session, an executive introduction — and a date.
Ninety days before renewal, review every account with an open risk. Thirty days before, the goal is that none of them are a surprise.
